We took two manual, grinding processes that ran around Priority — procurement from suppliers in China and collection from customers — and turned them into automated AI engines that translate, correspond, remind and collect on their own.

The Challenge

At the client, two daily tasks ate up time and bred errors. In procurement, every order with the suppliers in China required manual work: copying data and files from email, translating in a chat, sending it back, and then taking the spreadsheet that came back — in an inconsistent format — and re-entering it manually into the fields in Priority. In collection, the process was entirely manual: chasing business customers with reminders, answering "I didn't get an invoice" and "how do I pay", and documenting everything for accounting. Both processes were employee-dependent, slow, and prone to translation and typing errors.

Solution

The Solution

We built an operational AI layer on top of the existing Priority system without replacing it. The procurement engine extracts data and files, translates Hebrew and Chinese, manages supplier correspondence and writes the response back to Priority. The collections engine sends reminders, answers payment questions and hands exceptions to accounting with a summary. A further expansion added a price-estimation engine that reads requirements and procurement history from Priority, normalizes the data, applies import and customer-segment pricing rules and presents an explained estimate in a conversational review interface.

Our Approach

A procurement automation engine for suppliers in China: connecting to Priority to listen to procurement fields, automatically extracting data, files and images, and sending an organized email to the staff in China
An AI translation and processing layer: two-way Hebrew/Chinese translation, and analyzing the spreadsheet that comes back from the supplier even when it isn't in a structured format
Automatic update back to Priority: writing the processed reply and data to fixed fields for the sales staff
A flexible process designed to adapt itself to future format changes in the files
An AI-based collection bot connected to Priority: listening to invoices and payment due dates and sending automatic multi-stage reminders (before / on time / after) with a payment link
A natural conversation with the customer: answering 'I didn't get an invoice' and 'how do I pay', with human handoff for complex cases
An automatic conversation summary report for accounting
A purchasing price-estimation engine with clarification questions, Priority history, currency adjustments and customer-segment rules
A conversational review interface that shows the estimate, assumptions and source data before team approval

The Results

We took the repetitive manual work out of the two most expensive processes in the office and turned them into automated engines on top of the existing Priority. In procurement: instead of copying, translating in a chat and re-typing — automatic extraction, translation and updating of the fields in Priority in both directions, which saves time for the procurement employee and prevents translation and entry errors. In collection: instead of manually chasing payments — automatic reminders, answers to common questions with a payment link, and human handoff only when needed, with an organized summary for accounting. The project was closed and delivered in full. Monetary savings/ROI metrics were not measured in the system — the value here is operational: reducing manual work, preventing errors and shortening response times in procurement and collection.
