Glossary: Automation & AI
Key concepts you need to know to navigate the automation revolution, explained in plain language.
Agent (AI Agent)
An AI-powered software program that can perform tasks autonomously, make decisions, and interact with other systems to accomplish a specific goal on your behalf.
Webhook
A mechanism that lets one system notify another in real time when an event occurs. Think of it as an instant alert between applications -- for example, notifying your CRM the moment a new lead submits a form.
API (Application Programming Interface)
A standardized way for software systems to communicate with each other. APIs enable you to connect different platforms (such as your CRM and email provider) and exchange data seamlessly.
RAG (Retrieval-Augmented Generation)
A technique that enables AI to draw on your business data without full retraining. The AI searches your documents for relevant information and generates responses grounded in that context.
N8N
A workflow-based automation platform that lets you visually connect hundreds of applications and services, building flexible automations without writing code.
LLM (Large Language Model)
An AI model trained on vast amounts of text that can understand, generate, and summarize human language at a high level. GPT-4 is a well-known example.
WhatsApp Business API
Meta's official API that enables businesses to send automated messages at scale through WhatsApp. Unlike the standard WhatsApp Business app, the API requires Meta approval and supports integration with chatbots, CRM systems, and automation platforms. For example, a business handling 50 daily inquiries can deploy a bot that responds in seconds and routes leads straight to the CRM.
CRM (Customer Relationship Management)
A system that centralizes all customer data in one place -- conversation history, deals, emails, and tasks. It tracks every interaction and automates follow-ups and reminders. Any business with more than a handful of active customers benefits from a CRM to avoid losing leads and stay on top of sales pipelines.
Zoho CRM
A cloud-based CRM platform known for its competitive pricing and flexibility. It includes sales automation, analytics, and multi-channel communication (email, phone, WhatsApp). Particularly well-suited for small and medium businesses that need a professional CRM with a robust API for integrations with tools like N8N.
iPaaS (Integration Platform as a Service)
A cloud service that connects disparate software systems and automates data transfer between them. Instead of manually copying information from one tool to another, iPaaS handles it for you. Popular examples include N8N, Make, and Zapier.
Agentic AI (Autonomous AI)
An AI system that can plan, decide, and act independently to achieve a defined objective. Unlike a simple chatbot that only answers questions, Agentic AI executes multi-step workflows, makes decisions, and interacts with external systems. For example, an AI agent can receive a lead, verify CRM fit, send a personalized WhatsApp message, and schedule a meeting -- all without human intervention.
Automation Workflow
A sequence of automated steps triggered by a specific event. For example: a new lead enters the CRM, triggering an automatic WhatsApp message, creating a task for a sales rep, and scheduling a calendar meeting. Workflows are built visually in platforms like N8N, with no coding required.
Make (formerly Integromat)
A visual automation platform for connecting apps and streamlining business processes. It offers a drag-and-drop interface with over 1,500 built-in integrations, making it a strong choice for businesses that want no-code automations capable of handling complex scenarios.
Zapier
A leading automation platform that connects over 6,000 applications. User-friendly and ideal for straightforward, linear automations. However, it can become costly at scale compared to N8N and is more limited when workflows require conditional logic or multiple branches.
Chatbot
Software that simulates conversation with users through text or voice. Chatbots can be rule-based (following a fixed script) or AI-powered (using an LLM like GPT). Businesses commonly use them for customer support, lead qualification, and sales -- for example, a WhatsApp bot that serves customers around the clock.
Lead Management
The end-to-end process of capturing, tracking, qualifying, and nurturing leads from first contact through to a closed deal. Automating lead management cuts response times from minutes to seconds -- instead of a rep calling back an hour later, the lead receives an immediate response. Many businesses lose leads simply because follow-up takes too long.
Marketing Automation
Technology that handles repetitive marketing tasks automatically: email sequences, social media scheduling, campaign management, and lead scoring. It lets businesses deliver the right message to the right prospect at the right time -- without manual effort. For instance, a lead who downloads a guide can automatically receive a tailored email series with relevant content.
Business Process Automation - BPA
The use of technology to automate entire business processes from end to end. Unlike single-task automation, BPA covers complete workflows that span multiple departments. For example: onboarding a new client can include generating a digital contract, configuring CRM records, sending training materials, and assigning a point of contact -- all fully automated.
Meta Business Suite
Meta's unified platform for managing business accounts on Facebook and Instagram. It provides tools for messaging, post scheduling, and analytics, and connects to WhatsApp Business API for multi-channel customer communication from a single dashboard.
Integration Platform
Software that bridges applications, databases, and systems so they can exchange data with each other. It solves the common problem of siloed tools that do not communicate natively. N8N is an open-source example that lets you build connections between your CRM, email, WhatsApp, and virtually any other tool.
