A placement company whose entire workday ran on manual labor — hundreds of resumes, 120–150 Facebook groups and 18-page contracts — got a single operational system that runs the whole recruitment and HR cycle on its own, from intake of resumes all the way through collections.
The Challenge
The client is a staffing and placement company (B2B) where almost every process was done manually. The team processed hundreds of resumes arriving from 10–15 job boards, each in a different format — checking for duplicates manually in email and Messenger before every addition, and then copying field by field into the CRM. At the same time the company managed 120–150 Facebook groups for recruitment with no synchronization whatsoever: blocking a competitor's number required logging into each group separately by hand ("I'm tired of working for Facebook"). The HR processes were entirely manual — opening an employee record by copying, sending 18-page employment contracts and tracking signatures with no system, and attendance where employees forgot to clock in/out, creating a direct risk of payroll errors. Missed calls were also handled manually — a human writing a message and sending it by email. The upshot: hours of repeat work every week, constant load on the team, and a risk of lost leads and errors. Urgency was high — the client requested the quote that very evening.
The Solution
Automaziot AI set up a single central operational system on a self-hosted N8N infrastructure, running on the client's local server at their explicit request (with no dependency on an external cloud). The infrastructure connects WhatsApp Business API, a digital-signature system, the CRM, the accounting system, Gmail and a calendar — and on top of it we built end-to-end processes that run the entire recruitment and HR cycle without daily intervention: resume intake and AI analysis from multiple formats, a full employee-signing system, automatic quotes, employee requests (vacation/advance/sick leave) via a WhatsApp bot, AI call documentation and summaries, tender management, collections, and a managerial dashboard. The requirement the client defined explicitly — "build this so I don't have to talk to you unless something breaks" — was translated into an autonomous system with ongoing maintenance and support. The deal closed and the project is in execution.
