The Challenge

The client is a staffing and placement company (B2B) where almost every process was done manually. The team processed hundreds of resumes arriving from 10–15 job boards, each in a different format — checking for duplicates manually in email and Messenger before every addition, and then copying field by field into the CRM. At the same time the company managed 120–150 Facebook groups for recruitment with no synchronization whatsoever: blocking a competitor's number required logging into each group separately by hand ("I'm tired of working for Facebook"). The HR processes were entirely manual — opening an employee record by copying, sending 18-page employment contracts and tracking signatures with no system, and attendance where employees forgot to clock in/out, creating a direct risk of payroll errors. Missed calls were also handled manually — a human writing a message and sending it by email. The upshot: hours of repeat work every week, constant load on the team, and a risk of lost leads and errors. Urgency was high — the client requested the quote that very evening.

Automaziot AI set up a single central operational system on a self-hosted N8N infrastructure, running on the client's local server at their explicit request (with no dependency on an external cloud). The infrastructure connects WhatsApp Business API, a digital-signature system, the CRM, the accounting system, Gmail and a calendar — and on top of it we built end-to-end processes that run the entire recruitment and HR cycle without daily intervention: resume intake and AI analysis from multiple formats, a full employee-signing system, automatic quotes, employee requests (vacation/advance/sick leave) via a WhatsApp bot, AI call documentation and summaries, tender management, collections, and a managerial dashboard. The requirement the client defined explicitly — "build this so I don't have to talk to you unless something breaks" — was translated into an autonomous system with ongoing maintenance and support. The deal closed and the project is in execution.

Our Approach

Technical infrastructure: self-hosted N8N on the client's local server + connection of a digital-signature system and WhatsApp Business API as the foundation for all the automations
Automatic resume analysis: detecting emails with resumes across all of the company's inboxes, AI extraction of details from various formats, duplicate checking, opening a candidate record in the CRM and scheduling an interview with a WhatsApp reminder
Automatic employee-signing system: collecting the employee's details, a dynamic contract-generation engine by employee type, signing and tracking via the digital-signature system with reminders, creating an employee record and sending the data to the accountant
Automatic quotes: an input form with calculations, generating a branded PDF, digital signing, sending to the client by email and WhatsApp and tracking status
Managing employee requests on WhatsApp: vacation, advances with checks, and sick-leave approvals with OCR to extract dates
Call documentation and summary: AI recording and summary (topic, required actions, commitments), identifying the client by phone and handling missed calls
Collections and cash-flow management: payment tracking, automatic reminders to the client before/on/after a late date, and integration with the accounting system
Recruitment and candidate management: WhatsApp campaigns, managing the employee pool, matching to open positions and sourcing candidates from external sources
Smart tender management: identifying relevant tenders from email, AI relevance analysis, alerts and document downloads

Managerial dashboard and analytics: KPIs on employees, sales, finances and collections

The Results

The repetitive manual work — intake of hundreds of resumes, duplicate checks, contract signing, attendance tracking and Facebook blocks — is replaced by a single autonomous system that runs the entire recruitment and HR chain end to end: every candidate enters the CRM automatically instead of being copied field by field; contracts are sent, signed and monitored via the digital-signature system instead of being tracked by eye; and the WhatsApp bot closes the attendance loop that created the payroll risk. Everything was built under the client's explicit definition — a system that runs on its own and requires them only when something breaks. The deal closed, the project is in execution and a deposit was paid. Quantitative savings metrics were not measured at the proposal stage and are therefore not reported here.
