The Challenge

The owner manages all the sales of the door business by himself. The installation crew is external, but every lead that comes in from advertising straight to WhatsApp lands on him personally — about 450 inquiries a month, each turning into a sales conversation. The result: nonstop work, sales at 11 at night, zero free time, and a mental load that in his own words was "my body hurts from working in my head." Every inquiry requires exactly the same repetitive process: how many doors, which city and address, floor and elevator, whether it includes removal — and then calculating a price and sending a quote. His prices don't change, but he's the only one who knows the rules, so the entire business depends on his presence. The two things he won't compromise on: not missing a single customer, and not losing the response speed that makes him "number one in the ranking."

Solution

The Solution

We built an end-to-end automation of the sales conversation on WhatsApp. The existing button-based bot that the owner had programmed himself was upgraded to an AI agent that runs a natural conversation and extracts from the customer exactly the same key details the owner had identified as recurring after a thousand leads — number of doors, location, floor/elevator, removal. Based on those details we built a pricing engine following his fixed rules (with/without removal, transport, floors, region) that assembles an organized quote in Hebrew — including a breakdown of what's included to prevent surprises — and sends it to the customer automatically on WhatsApp. In parallel we set up a smart Human Handover mechanism: the agent tries to close up to a quote on its own, and only when there's a stall, an unusual question or missing details does it stop, push the owner an alert with a full summary of the conversation and what's missing, and let him take over without starting from scratch. Every lead and conversation is recorded automatically with a status throughout the process (new → information collected → quote sent → handed off), and we set up a flexible open-source CRM (Supabase/NocoDB) with custom fields for a door business — so all the automations can connect to it without the limits of a closed system and without a monthly per-user license.

The Results

The agent runs the sales conversation in place of the owner — from capturing the lead, through collecting the details and calculating per his rules, to a ready quote sent automatically on WhatsApp — so he's freed from the constant manual responding and from sales at 11 at night. The Handover mechanism preserves "zero missed customers" because the system jumps to him only when it's truly needed, and the status tracking ensures an orderly process for leads even when he isn't available. This is exactly the goal the owner defined — for the business to "run on its own" while the crews head out in the morning to installations. The project was closed and moved to the implementation and actual-payment stage. (No verified monetary savings metrics were attached to the project, so the result is presented qualitatively.)
