AI agents on WhatsApp that capture every lead from an ad and guide it all the way to a booked appointment — for two clinics, from a single management dashboard.
The Challenge
The client runs two clinics in parallel — an aesthetics clinic and a dental clinic — both driving leads from Facebook and Instagram ads. Leads landed in the appointment management system and received no automated response: every inquiry required a person to answer questions about treatments, prices, treatment durations and recovery, send materials, and book an appointment. Managing the two lead streams manually, with no unifying system and no organized record-keeping, caused the loss of leads that weren't answered in time and a constant burden on the team — with no way to identify returning patients or track the customer journey.
The Solution
Automaziot built an end-to-end AI solution for both clinics on a single shared infrastructure. For each business we set up a WhatsApp sales agent connected directly to the leads from Meta ads: for the aesthetics clinic — an agent that answers questions about treatments (threads, injections, devices), prices and the recovery process, sends relevant photos and videos based on the treatment type, sends a link to book an appointment in the appointment management system, and hands off to a human representative with the conversation context and a smart alert to the team; and for the dental clinic — a parallel agent for initial response and appointment booking. On top of the agents we built a full customer journey with a returning-patient recognition mechanism, automatic follow-up after treatment, and reminders, alongside an email automation connected to the appointment management system that processes appointments, cancellations and updates and distributes alerts to the team. All activity sits on a SQL-based customer management system that records customer details, conversations, appointments and statuses, and above it a unified management dashboard for both businesses — letting the team independently update treatments, prices and content, view the agent's conversations and join them when needed, with infrastructure that can be expanded to a third business later on.
